Data capture and barcode scanning

Data captured in the field is only useful if it lands in a format your system can actually take. Our core promise on data capture is straightforward: you get your data as a CSV, Excel file, or a template matched to your specific system, ready to import, not a scanned PDF or a printout that someone then has to re-key.

We capture data using barcode and QR scanners during tagging, verification or standalone data capture visits, recording the fields your register or finance system needs and checking accuracy before anything is handed over. Where you already run a finance or asset management system, we work to that system's field structure from the outset rather than delivering a generic format and leaving the mapping to you.

We're also honest about where this stops. We deliver clean, correctly formatted data; we do not build or maintain custom system integrations, and true live integration between our capture process and your software depends on what that software actually supports.

Quality control on captured data

  1. 1

    Field validation

Mandatory fields are checked for completeness on the scanner before the team leaves each location.

  2. 2

    Duplicate check

Tag numbers and asset numbers are checked for duplication across the full data set before export.

  3. 3

    Sample re-check

A sample of captured records is spot-checked against the physical asset before the data set is finalised.

Honest limits on integration

We deliver data correctly formatted for import into your system; we do not build live, ongoing integrations between our capture tools and third-party software. If your system supports scheduled file imports, we can format to match that; if it requires a custom API connection, that is a separate technical project outside what this service covers.

Buyer questions

Questions about data capture and barcode scanning

CSV, Excel, or a template built to match your specific finance or asset management system's field structure, whichever your team can import directly without re-keying. We agree the exact format before fieldwork starts, confirm it against a sample record, and only finalise the full data set once you've signed off that the structure works.
