Asset tagging and asset register services

Most organisations that call us do not have an asset problem. They have a register problem: a spreadsheet that has not matched reality since 2021, an auditor asking questions, or a new finance system that needs clean opening balances. Tags are the easy part.

Our service teams handle the part that takes time. We verify what physically exists, tag every asset with a durable identifier suited to its surface and environment, capture the data in the same pass, and hand back a register that reconciles line by line to what is on site.

Everything is priced per asset rather than per day, so you know the cost of the exercise before we start. For sites outside Nairobi we itemise travel in full and confirm it in writing before any work begins.

Four services, one field team

Most engagements combine two or three of these. Each page sets out scope, deliverables and how the work is priced.

On-site asset tagging

Scoping visit, tag production in our Nairobi workshop, physical tagging with data capture in the same pass, reconciliation and handover with training. Priced from KSh 60 per asset across all 47 counties.

Asset verification and reconciliation

A physical count against your existing register, with a verification report, exceptions schedule, condition assessment, write-off recommendations and photographic evidence. The usual answer to an audit query about assets that cannot be traced.

Fixed asset register development

Building or rebuilding a register that reconciles to your general ledger, supports depreciation and survives staff changes, structured to IPSAS, IFRS or a donor-specific reporting framework.

Asset data capture

Field data capture and barcode scanning delivered in your system's import format rather than a PDF, so the data loads into your existing finance or asset system instead of being retyped.

Two priced tiers

The same field team and the same tags on both tiers. The difference is how much accounting detail we capture and how the register is structured.

Basic register, KSh 60 per asset (excl. VAT)

Every asset tagged, scanned and logged with description, location, custodian and tag number. A working inventory you can verify against at any time.

Comprehensive register, KSh 150 per asset (excl. VAT)

Everything in the basic tier plus acquisition cost, funding source, depreciation method and rate, accumulated depreciation, net book value and condition, structured to IPSAS or IFRS classes and ready to reconcile to the ledger.

Free scanner on projects of 500 assets or more

Any on-site tagging project of 500 assets or more includes a free barcode or QR scanner, on both the basic and the comprehensive tier. It is the same scanner your staff use to keep the register current after we leave. Tags are quoted separately from the per-asset service rate.

Travel outside Nairobi

For sites outside Nairobi, transport, accommodation and subsistence are charged at cost. We confirm an exact, itemised figure before any work begins, with no percentage mark-up and no open-ended travel line on the final invoice.

Buyer questions

Questions about asset tagging and asset register services

Start with verification, not tagging. A verification exercise establishes what physically exists before anything is labelled, so you are not tagging against a list that is already wrong. Tagging and register development then follow in the same mobilisation. Where no reliable register exists at all, we usually combine verification and comprehensive tagging into one engagement so the count and the record are produced together.
