Which service do we actually need if our register is a mess?

Start with verification, not tagging. A verification exercise establishes what physically exists before anything is labelled, so you are not tagging against a list that is already wrong. Tagging and register development then follow in the same mobilisation. Where no reliable register exists at all, we usually combine verification and comprehensive tagging into one engagement so the count and the record are produced together.

How much does a full service engagement cost end to end?

Accepted Answer

The service is KSh 60 per asset for a basic register or KSh 150 per asset for a comprehensive one, excluding VAT, with tags quoted separately by material and size. A 1,000-asset comprehensive exercise is therefore KSh 150,000 for the service plus the tag cost and any itemised travel. Published tag prices let you build the full figure yourself.

Is there a minimum project size for on-site work?

Accepted Answer

There is no formal minimum inside Nairobi, but below roughly 150 assets the mobilisation cost starts to dominate the per-asset rate, and it is often cheaper for you to buy pre-numbered tags and apply them with your own staff. We will say so rather than sell you a site visit you do not need. Outside Nairobi the travel cost makes small jobs poor value.

Can your team work outside normal office hours?

Accepted Answer

Yes. Hospitals, hotels, banks and manufacturing sites usually need at least part of the work done outside operating hours, and we plan shifts around clinical lists, guest occupancy, branch hours or production schedules. Out-of-hours work does not change the per-asset rate, though it can extend the calendar duration of the exercise.

What do we have to provide during the exercise?

A named contact per site, access to locked rooms and stores, any existing register or purchase records, and a decision-maker for numbering conventions. Most delays on our projects come from access rather than fieldwork: a locked server room, a department head on leave, or an off-site store nobody mentioned during scoping.

How long does a project take?

Accepted Answer

A single Nairobi site of 1,000 assets typically takes three to five field days plus data work, and tag production runs to published lead times from artwork approval. Multi-site county or branch networks are scheduled in waves. We give you a written schedule at quotation stage rather than a general estimate.

Question 7

Will you integrate the register into our existing finance system?

Accepted Answer

We deliver data in your system's import format, including field mapping and code structures agreed in advance, and we test a sample load before handover. We do not write custom integrations into third-party finance software or act as your system implementer. Where you want an asset system, we can supply one.

Question 8

Can you guarantee our audit finding will be cleared?

Accepted Answer

No, and treat any supplier promising that carefully. We can guarantee every asset we handle is uniquely identified and reconciled with documented exceptions. Whether that clears a specific finding depends on your valuation basis, accounting policies and how the accounting officer presents the record, which are not ours to control.

Question 9

Do you take over ongoing asset management afterwards?

Accepted Answer

No. We build the register, train your staff and leave you the tools to maintain it, including a scanner on qualifying projects. Some clients bring us back annually for a verification sweep before year end, which is usually far cheaper than the first exercise because the identification layer is already in place.
