Yes. We can structure the register by project code or funding source alongside the asset number, which is common practice where an NGO runs several donor-funded programmes in parallel and needs to report on each one separately without re-tagging assets later.

What size tags work on medical equipment?

Accepted Answer

Our smallest standard size, 39 × 13 mm, fits most compact devices without obscuring vents, screens or existing manufacturer labels. For irregular or curved surfaces such as tubing or cases, polyester-vinyl is often a better fit than rigid aluminium, since it conforms to the shape instead of lifting at the edges.

How much does it cost to travel to project sites outside Kisumu town?

Transport, accommodation and subsistence are charged at cost, and we give an exact itemised figure before work starts based on the number of sites, distances involved and working days required. Dispersed rural project sites cost more to mobilise for than a single Kisumu-town office, which is worth factoring into your project budget early.

For a small, single-site project with a straightforward register, yes, order tags from us and your own staff can apply them. For multi-site donor programmes needing a defensible, reconciled register, our on-site service is usually worth the cost because the register is built correctly the first time.

Can you tag boats and lakeside fishing equipment?

Accepted Answer

Yes, though standard adhesive tags don't always hold well on constantly wet or salt-spray-exposed surfaces. Aluminium barcode tags generally outperform polyester-vinyl in that environment, and for equipment handled roughly, riveted fixing is worth considering. Wooden hulls and painted fibreglass need a slightly different fixing approach to steel or aluminium equipment, so tell us the surface material when you enquire and we'll recommend whichever adhesive or mechanical fixing is most likely to survive repeated soaking.

How long does an NGO project of a few hundred assets take from order to completion?

Tag production runs on standard lead times from artwork approval, up to 1,000 tags in two working days. On-site tagging and register-building time depends on how many locations are involved; a single Kisumu office of 300 assets is typically a one- to two-day mobilisation, while multi-site rural projects take longer.

Do you offer a free scanner for donor-funded projects?

Accepted Answer

Yes, on either service tier, for any project of 500 or more assets. Below that threshold scanners are available on quotation, answered within four working hours, which is worth requesting early if your donor agreement expects ongoing barcode verification. Many donor-funded projects also require photographic evidence of tagged assets for reporting, which our on-site team can capture alongside the tagging itself, so raise that when you scope the project rather than arranging a separate verification visit later.

Can we pay from grant funds using an LPO rather than upfront deposit?

Accepted Answer

Institutions with a valid LPO can arrange 30-day credit at credit pricing, which differs from our cash rates. Otherwise the standard arrangement is a 50% deposit by M-Pesa Paybill 247247, account 0120183631962, to start production, with the balance on delivery.

Question 10

Do you handle the actual donor compliance submission or certificate?

Accepted Answer

No. We build the asset register data to a structure your team can use, but we don't produce, interpret or submit donor compliance certificates or documents, that responsibility stays with your organisation and its auditors. What we can do is format register fields, asset description, cost, location, custodian and condition, to match common donor templates, so your team spends less time reformatting our data before it goes into a compliance submission.
