That is what our on-site tagging teams do, in Nairobi and across all 47 counties, working from a scoping visit through to a signed-off handover.

We run two tiers of the same service. The basic tier gets every asset tagged and logged with enough detail to know what you have and where it is. The comprehensive tier builds a full accounting-grade register, structured to IPSAS or IFRS classes, with depreciation fields ready for your finance team. Both tiers use the same field team and the same tags; the difference is in how much detail we capture and how the register is built.

We price this by the asset, not by the day, so the cost is predictable before we start. For sites outside Nairobi, we itemise transport, accommodation and subsistence as an exact figure before any work begins, there is no open-ended travel charge that turns up on the invoice afterwards.

Two tiers, one team

Choose the tier that matches what your finance function actually needs from the exercise.

Basic register, KSh 60 per asset

Every asset tagged, scanned and logged with description, location, custodian and tag number. Enough to know what exists and where it is, suitable for departments that need a working inventory rather than a full accounting record.

Comprehensive register, KSh 150 per asset

Everything in the basic tier plus full accounting detail: acquisition cost, funding source, depreciation method and rate, accumulated depreciation, net book value and condition, structured to IPSAS or IFRS class codes and ready to reconcile against your general ledger.

How a tagging project runs

Six stages, from first visit to signed-off handover.

    Scoping visit

    Free of charge within Nairobi. We walk the site, estimate asset count, agree numbering conventions and identify anything that needs special handling, assets in restricted areas, hazardous environments or off-site stores.

  2. 2

    Pre-tagging verification

    Where no reliable register exists, we do a walk-through count first rather than tagging blind against a list that might be wrong. This avoids tagging assets twice under two different numbers or missing assets that were never recorded.

  3. 3

    Tag production

    Tags are produced in our Nairobi workshop to your numbering sequence, with your logo printed in full colour at no extra charge, and delivered to site ready for fixing.

  4. 4

    Physical tagging with data capture

    Each asset is tagged and its data captured in the same pass using barcode or QR scanners, so there is no separate walk-through later to reconcile what was tagged against what was recorded.

  5. 5

    Reconciliation

    Every asset counted is checked against any existing list. Every discrepancy, missing assets, assets not on the original list, duplicate entries, is documented rather than quietly dropped.

  6. 6

    Handover

    You receive the completed register, a discrepancy report, a tag number schedule and a short training session for your staff on how to keep the register current going forward.

Free scanner on larger projects

Any on-site tagging project of 500 assets or more includes a free barcode or QR scanner, on both the basic and comprehensive tiers. This is the same scanner your staff will use to keep the register updated after we leave.

Travel outside Nairobi

For sites outside Nairobi, transport, accommodation and subsistence are charged at cost. We confirm an exact, itemised figure before any work begins, there is no percentage mark-up and no open-ended travel line on the final invoice.

Questions about on-site asset tagging services

KSh 60 per asset for a basic register, or KSh 150 per asset for a comprehensive register with full accounting detail. Both prices exclude VAT and travel outside Nairobi. There is no separate charge for the tags themselves, production is included in the per-asset rate.
