That wording exists because the tagging is the easy part. The hard part is establishing what you actually own before you label any of it. Most organisations that call us have a register that stopped matching reality some years ago: assets on the floor that appear nowhere on the list, lines on the list with no asset behind them, and entries reading "20 computers" where there should be twenty individually identified machines.

What "identification, verification and tagging" means in practice

Identification, establishing the real asset population. We walk every room and record what is physically there, including assets nobody knew about. This is what gives you a true count before a single tag is printed.

Verification, checking that population against whatever register you already hold, documenting every discrepancy: assets found but not recorded, records with no asset, misclassifications, and items already disposed of but still on the books.

Tagging, fixing a permanent tag carrying your logo and a unique code number, and scanning it against the asset record in the same pass so the data never has to be re-keyed.

Kenyan tender specifications are specific about register content, and we build to it as standard. Every asset record carries:

Asset tag number · asset description · make, model and serial number · category and sub-category · physical location · department and custodian · date of acquisition · original cost · asset status, in service or obsolete · condition and useful life · open market value where an asset is identified as obsolete · remarks.

On the comprehensive package we add the full accounting layer: depreciation method and rate, accumulated depreciation, net book value, funding source, and structuring for IPSAS or IFRS reporting.

How a tagging project runs

Six stages, from first visit to signed-off handover.

    Scoping visit

    Free of charge within Nairobi. We walk the site, estimate asset count, agree numbering conventions and identify anything that needs special handling, assets in restricted areas, hazardous environments or off-site stores.

    Pre-tagging verification

    Where no reliable register exists, we do a walk-through count first rather than tagging blind against a list that might be wrong. This avoids tagging assets twice under two different numbers or missing assets that were never recorded.

    Tag production

    Tags are produced in our Nairobi workshop to your numbering sequence, with your logo printed in full colour at no extra charge, and delivered to site ready for fixing.

    Physical tagging with data capture

    Each asset is tagged and its data captured in the same pass using barcode or QR scanners, so there is no separate walk-through later to reconcile what was tagged against what was recorded.

  5. 5

    Reconciliation

    Every asset counted is checked against any existing list. Every discrepancy, missing assets, assets not on the original list, duplicate entries, is documented rather than quietly dropped.

    Handover

    You receive the completed register, a discrepancy report, a tag number schedule and a short training session for your staff on how to keep the register current going forward.

For sites outside Nairobi, transport, accommodation and subsistence are charged at cost. We confirm an exact, itemised figure before any work begins, there is no percentage mark-up and no open-ended travel line on the final invoice.

Questions about asset tagging in Kenya

How much does asset tagging cost per asset in Kenya?

KSh 60 per asset excluding VAT for tagging, verification and a basic register. KSh 150 per asset for the comprehensive version with full accounting detail structured for IPSAS or IFRS. Tags are quoted separately. On any project of 500 assets or more, a barcode or QR scanner is included free on both tiers.

How many assets can your team tag in a day?

It depends heavily on how the assets are distributed. A dense office floor goes quickly; equipment spread across a compound or several sites does not. We give you a figure after the scoping visit rather than a number that sounds good in a proposal.

Do we need to stop work while you tag?

No. We work around your operations, wards at the quietest shift, branches outside banking hours, schools during the holidays, plant during a maintenance window. Tell us the constraint and we schedule to it.

What if we have no existing asset register at all?

That is a common starting point and it is what the identification stage is for. We count and classify first, which gives you a real asset population, and that count also tells us how many tags to produce.

Can you work with our existing asset numbers?

Yes. We can keep your current numbering so your register does not change, or renumber and supply a cross-reference mapping old to new. Decide before production starts.

Will the register satisfy our auditor?

It will carry the fields auditors ask for and reconcile to your count. Whether it satisfies the audit also depends on your own accounting policies, your capitalisation threshold and your depreciation treatment, which we build to but do not set. We are tag manufacturers and asset specialists, not your accountants.

What do you charge for asset tagging outside Nairobi?

Transport, accommodation and subsistence at cost. We do not quote a figure until we know your locations and counts, then we issue an exact itemised amount before work begins. No open-ended charges.

Can you provide documents for our tender?

Yes, Certificate of Incorporation, KRA PIN, valid Tax Compliance Certificate, CR-12 issued within three months, business permit, audited accounts and reference letters. Sent directly to your procurement email within four working hours. We do not publish them online, because document fraud is common and published certificates get copied and misused.

How long does a tagging project take?

A single-site office of a few hundred assets is usually days. A multi-site county or institutional engagement runs in phases over weeks. We sequence by asset concentration so you get a usable register for the bulk of your assets early, while the long tail is still being counted.

What happens after you hand over?

We train the team who will maintain the register, and supply the tag-number schedule as CSV or Excel. If you would rather run a system than a spreadsheet, our web-based asset management software is a one-off purchase with scanners included.
